This policy covers the ManeOS platform in every form it takes: the web application, the ManeOS Staff app for iOS, iPadOS and Android, the ManeColourBar app, and the ManeOS client booking apps. We refer to all of these together as “ManeOS” or “the Service.”
ManeOS is built and operated by Maneos Pty Ltd, based in Melbourne, Australia. If your salon uses ManeOS, your salon is the data controller for your clients’ information under most privacy laws, and Maneos Pty Ltd acts as the data processor that provides the software and infrastructure. This policy explains what we collect, why, and what you and your salon can do about it.
Salon staff. When a salon signs up, we collect the information needed to run the business day to day: staff names, email addresses, phone numbers, roles and access levels, rostered hours, and — where a salon uses the feature — a staff PIN for quick sign-in at a shared iPad or till. ManeHR (our staff management module) also holds employment details a salon chooses to record, such as start dates, pay information relevant to payroll, and hiring records for salons using our hiring tools.
Clients. On behalf of the salons that use ManeOS, we store client names, phone numbers, email addresses, appointment history, colour formula and consultation history (including consultation photos where a salon captures them), loyalty program activity, and marketing consent preferences. We do not store full payment card numbers — deposits and payments are handled by third-party payment processors (see below), and ManeOS only retains the transaction records those processors return to us.
Device and technical data.Our apps register a push notification token with Apple or Google so we can send appointment and roster alerts; this token is tied to your device, not to any content of the notification itself. The ManeOS Staff app can add a client’s name and phone number to your device’s own Contacts app, at your salon’s choice, so their name appears when you call or text them from that device — this stays on your device and is not something we collect separately. The ManeColourBar app connects to Acaia weighing scales over Bluetooth to record colour formula weights; this connection carries no personal information, only weight readings.
We don’t sell client or staff data, to anyone, ever. We do share data with a small set of providers we rely on to run the Service, each bound by their own privacy and security commitments:
We may also disclose information where required by law, to protect the rights or safety of ManeOS, our customers, or the public, or in connection with a merger, acquisition, or sale of assets — in which case we’ll make reasonable efforts to notify affected salons first.
We retain client and staff data for as long as a salon has an active ManeOS account, so that appointment and colour history remain useful and accurate. If a salon closes its account, we retain data for a reasonable period to allow for export and to meet our own legal and accounting obligations, then delete it. A salon can request deletion of a specific client’s record at any time, subject to records we’re required to keep for tax or legal purposes.
Data is encrypted in transit and at rest. Access to client and staff data within a salon is governed by role-based permissions — a stylist and an owner see different things by design — and access across salons is isolated at the database level, so one salon can never see another’s data. No system is perfectly secure, and we can’t guarantee absolute security, but we treat this as a first-class responsibility, not an afterthought.
If you’re in Australia, ManeOS handles personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). Wherever you are, you (or, if you’re a client of a salon using ManeOS, your salon on your behalf) can ask us to access, correct, or delete the personal information we hold. Clients can also opt out of marketing communications at any time, without affecting their ability to book or receive appointment-related messages.

ManeOS is a business tool for salons and is not directed at children. We understand that salon client records may include minors booked in by a parent or guardian; that information is collected and controlled by the salon in the same way as any other client record.
The ManeOS website and web application use cookies and similar technologies necessary for sign-in and core functionality. We do not use third-party advertising cookies.
We’ll update this page as the Service evolves, and update the date at the top when we do. Material changes will be communicated to salons directly.
